About the Role
Charminster Community Hall is a vibrant local space at the heart of our village, used by community groups, private hirers, and local businesses. We’re looking for a highly organised and friendly Bookings & Administration Officer to manage the day-to-day running of the hall.
This varied and rewarding role is perfect for someone who enjoys working independently, engaging with the community, and keeping things running smoothly behind the scenes.
Key Responsibilities
- Manage all hall bookings, enquiries, and cancellations via phone, email, and online systems.
- Maintain the booking diary and invoicing system (using Scribe software).
- Ensure compliance with hall regulations, safeguarding, and policies.
- Prepare quarterly financial and activity reports for the Parish Council.
- Support the Parish Clerk/RFO with Council duties when required.
- Promote the hall through social media and community channels to increase usage.
- Ensure the hall is ready for hirers – safe, tidy, clean and well-equipped.
- Liaise with contractors, cleaners, and suppliers as needed.
Person Specification
Essential Skills & Qualities:
- Excellent organisational and administrative ability.
- Confident using Microsoft Office and digital booking/accounting tools.
- Strong communication and interpersonal skills.
- Able to work independently and manage time effectively.
- A practical, “can-do” approach to problem-solving.
Desirable:
- Experience in community facilities or venue management.
- Familiarity with health & safety and safeguarding processes.
- Experience with financial reporting or customer service.
- Marketing or social media skills.
